PLAN 01
Use the event calendar to plan capacity
Look beyond a single match or performance. Include deliveries before the event, hospitality preparation, stock held between dates and the time needed to clear the room afterwards. A run of events may make a continuous hire more practical than repeated installation and collection, depending on the programme.
Map the requirements of separate kitchens, bars and hospitality areas. Decide whether stock can be shared centrally or whether teams need their own rooms. Split chilled and frozen goods into the appropriate spaces and identify any different hire dates for individual rooms.
PLAN 02
Think through the loading-bay layout
A service area may also handle catering deliveries, production equipment and waste collections. Choose the room position alongside those movements, not in isolation. Confirm door opening space, the route from unloading and the working area needed by the handling team.
For pallet deliveries, discuss the load dimensions and equipment you intend to use. A wide door is helpful only if the approach, turning space and threshold arrangement also work. Any ramp and floor suitability must be checked for the proposed use. Keep access to refrigeration equipment available after event infrastructure is installed.
PLAN 03
Give each team a workable storage arrangement
Racking suits smaller catering items and can make picking easier; bulk loads may call for a different layout. Consider the busiest replenishment period and whether people will need to pass each other or move stock at the same time. Avoid treating every square metre as storage space.
For several rooms, use clear room references in the operational plan so the right team knows its location, purpose and dates. Agree responsibility for routine checks and reporting faults. Discuss stock transfer timing with the catering team before installation day.
PLAN 04
Coordinate installation with venue operations
Provide delivery booking requirements, vehicle access information, induction arrangements and any times when routes are closed. Build and collection can take place during busy changeovers, so name a contact who can resolve access questions on the day.
Confirm power requirements and connection locations for all rooms with the venue’s electrical team. Leave time to reach the operating temperature before loading. If a fixture or event schedule changes, tell us early so hire dates and transport can be reviewed. Collection needs the same planning as delivery, with stock removed and the route kept accessible.

COMMON QUESTIONS
Sporting Venues coldroom hire: your questions
Can you supply several rooms for one venue?
Include each room, its purpose and preferred dates in your project. The team will review availability, positioning, power and the delivery plan together.
Are pallet-access doors available?
Pallet or double-door options can be discussed for suitable configurations. Share the handling equipment and load dimensions so the complete access arrangement can be checked.
Can rooms remain between events?
Discuss the complete schedule and whether you need continuous storage. Hire duration, availability and any changes to the venue layout need agreement.
